Please contact by mail or fax to the following address: Address: Heart of Gold Tour Management 4230 Redondo Bch. Blvd., Suite 723 Torrance, CA 90504 Hardware and Software Requirements: In order to use TourMiles, your system must conform to the following requirements: ù IBM Personal System/2 and Up, IBM PC, XT, AT, or a 100% Compatible or Laptop ù Single or double floppy disk drives ù Hard Drive ù PC-D0S or MS-DOS 3.1 or later ù Minimum 512K RAM available Introduction to TourMiles Originally conceived to make tour/production managers' jobs easier and faster, the TourMiles program creates fast and efficient mileage calculations between various destinations. TourMiles operates like a spreadsheet: enter a list of cities, and the program searches through over a hundred thousand mileages to find the right one. Shed cities are calculated by the distance from the closest mileage chart city (see page 9). Originally created using the Lotus_ 123_ spreadsheet program and compiled with Baler XE, TourMiles is now a stand alone program. After a mileage chart is completed, TourMiles will allow you to export the data to a spreadsheet program. TourMiles will also allow you to import dates/cities data (either from a spreadsheet program or a database program) to a spreadsheet program and then to TourMiles. The program is very simple to use, and if you follow the simple instructions provided in this manual, you should have no problems. ACKNOWLEDGEMENTS Dedicated to Sherry Thrun, whose patience, caring and understanding made the difference, and to David Hyatt who believed first and got the ball rolling and will be remembered always as a good friend. My sincere thanks to Kim Gardner and Chris Lamb for without whose help this project might not have happened. Thank you, guys for believing. Special gratitude to Larry & Kristina Smith of K&L Computer Services for their expertise, labor, advise and support; you developed an idea into a work of art. Repeat procedure to add as many dates and cities as needed, up to a total of 75 entries at a time. After you have typed in desired dates and cities, press Return key twice for search and calculate mode. Edit values - command, edits dates/cities entered incorrectly. An edit is made by re-entering the new date or city data desired. You cannot delete data, only change it. NOTE 5: While in Edit values mode, enter dates by typing an apostrophe before typing he month / day / year, (example '04/01/91). Also, while in Edit values mode, BE SURE THAT THE CAPS LOCK IS ACTIVATED, AS ALL CITIES AND STATES MUST BE ENTERED IN CAPS. This applies only in Edit Value Mode. ENTER E, (Edit values mode), data entry always starts at the first tour date and allows you to use ARROW keys to move cursor to the date, city or any 0 mileage cell(s) that need to be edited and then re-enter the new data in that cell. After all edits are made, press Return and the program will then prompt, "Are you sure you want to re-process now? (Y/N). Yes = re-calculates all mileage and times. No = returns to edit values mode for additional editing needed. The Yes prompt will automatically move the cursor through the city name data and re-check for misspelling and incorrect city names for those entries made during edit values mode . If either is found, TM will prompt "City not found in master city list, Accept? (Y/N)," TM will then only re-check entries made in Edit values mode. After data is re- calculated, TM will return to the main menu. To exit Edit values mode, you MUST re-calculate data. Menu - This command will return to Main Menu. ENTER M, program will return to Main Menu. PRINT "Print, Header, Setup string" command allows you to Print the mileage chart, create title header, set printer setup options (see your printer manual). NOTE 6: TM is pre-set to work with most printers, but all printers are different, so you will have to look carefully at the printer manual to see what is required for your printer. The setup string (see glossary) is made up of backslashes (\) followed by the three-digit decimal equivalent of special characters in ASCII code. Ex: \027\069\078. In cases where a setup string is entered, it will have to be re-entered each time program is activated. To print. ENTER P, TM will prompt "Prepare your printer and press RETURN when ready". TM will automatically print chart. If printer is not ready, TM will automatically return to main menu. If printer does not seem to work correctly, refer to your printer manual. NOTE 7: Once a header has been created, it remains until changed. You MUST change header for each new mileage chart if so desired. ENTER H, TM will prompt "Enter Header" Allowing you to create a title header at the top of the mileage chart. Example: Madonna - 1990 North American Tour. To center name above chart. ENTER | (pipe) character, before name of Header, then press Return. To left justify name above chart. ENTER name of header alone, TM will prompt "Prepare your printer and press RETURN when ready". TM will automatically print chart. If printer is not ready, TM will return to main menu. To create Setup String. ENTER S, TM will prompt "Enter setup string" (see printer manual for setup string instructions). Should you enter incorrect string and program reacts strangely, simply shut down and restart. RESET (Caution): "Clear all the values in the worksheet" command allows you to delete all entries and start with first new date. ENTER R, TM will automatically remove all entries from chart and prompt "Enter date (MMDDYY)". TM then re-starts data entry from first tour date (see page 4). NOTE 8: Do not re-name or delete the file "TOURLIST.WKB" as it must be in the TMWORKS subdirectory or TM will not operate. SAVE "Save your worksheet" command allows you to save your mileage chart as a .WKB file. ENTER S, TM will prompt "Your worksheet will be saved to disk as "Tourlist.WKB", hit any key." The file name cannot be changed while in the TM program. After file is saved, you can make a copy of "Tourlist.WKB" file, in DOS and re-name it. The new name of copy must also include the .WKB extension. Example: CITYLIST.WKB. To re-name file in DOS. ENTER copy TOURLIST.WKB (new file name).WKB. Example: Copy Tourlist.WKB Citylist.WKB. Re-name copy only, DO NOT RE-NAME ORIGINAL FILE. GET "Get save worksheet", command allows you to retrieve a saved mileage chart or other spreadsheet files. To activate the Get command, from a blank chart, (see Note 4 ). ENTER Get command from main menu, TM will prompt "Enter file name to Get". NEVER SAVE AS TMEXPORT.WKB Once you have created a TMEXPORT.WK1 file and later would like to transfer data from a TMEXPORT.WKB file to a TMEXPORT.WK1 file and avoid having to repeat column, date and decimal set-up, do the following. Retrieve TMEXPORT.WK1 and with the cursor in column/cell A-1. ENTER /, then File, then Combine, then Copy, then Entire file. SELECT TMEXPORT.WKB file, press Return. SAVE File, as TMEXPORT.WK1 (do not save as .WKB) LOTUS to TMWORKS TM allows you to import data out of other spreadsheet programs and into TMWORKS. To transfer a TMIMPORT.WK1 file from Lotus to a TMWORKS mileage chart, do the following: In Lotus select either TMIMPORT or TMCITY (depending on whether you are creating a new date/city list (TMIMPORT.WKB) or importing date/city data from a database (TMCITY.WKB). Example: Data from database to TMCITY then to TMIMPORT then to TMWORKS or Data entered into TMIMPORT then to TMWORKS. To TMCITY (see glossary) to TMIMPORT Enter data into worksheet (TMCITY.WKB), so that the first date entry starts in column/cell C-6 and the first city entry in column/cell E-6 only, (column/cell D-6 is blank), you must either enter a date with an apostrophe ('04/01/91) or the term "No Date" in each date cell next to all cities entered in TMCITY.WKB (see note 5, page 5, same as edit mode). After you have entered desired data in TMCITY.WKB and now want to transfer the data to TMIMPORT.WKB do the following. Retrieve TMIMPORT.WKB and with the cursor in column/cell A-1. ENTER /, then File, then Combine, then Copy, then Entire file. SELECT TMCITY.WK1 file, press Return. SAVE File, as TMIMPORT.WK1. (do not save as .WKB) QUIT Lotus, then activate TourMiles (see below). To TMIMPORT Enter data into worksheet (TMIMPORT.WKB), with the first date entry in column/cell C- 6 and the first city entry in column/cell E-6 only, you must either enter a date with an apostrophe ('04/01/91) or the term "No Date" in each date cell next to all cities entered in TMIMPORT.WKB. (see note 5, page 5) SAVE File, as TMIMPORT.WK1. (do not save as .WKB) QUIT Lotus Activate TourMiles. ENTER TMWORKS, press Return, after TM is activated. PRESS Return at first date entry. PsL cannot debug pro- programs over the telephone, though we can answer questions. Disks in the PsL are updated monthly, so if you did not get this disk directly from the PsL, you should be aware that the files in this set may no longer be the current versions. Also, if you got this disk from another vendor and are having prob- lems, be aware that some files may have become corrupted or lost by that vendor. Get a current, working disk from PsL.
